• Don't carry valuables

• The tent stay is on sharing basis, will be appropriately assigned for accommodation prior to the event.

• Tent stay experience is different from room stay experience, bear with it and the weather with patience.

• Stay within campsite and as per instructors direction as the site may be nearby to small wildlife.

• Avoid unnecessary adventures.

• Above all take care of yourself and your fellow mates during the entire event.

Day 1 -

• Gather at pick up point(not for self travel) - 3:00pm

• Arrive at destination/occupy tent- 5:00pm

• Evening Tea Snack - 5:30pm

• Setting up/Handling Telescopes Session - 6:00pm

• Dinner - 8:30pm

Day 2 -

"We take great pride in organizing our events diligently. To protect your experience and ensure clarity, please take a moment to review our standard terms and conditions."

General

• Booking and Identity: All participants must carry/provide a valid government-issued photo ID (e.g., Aadhar, Passport).

• Weather Conditions: Stargazing is highly dependent on clear skies; while we provide sessions and equipment, we cannot guarantee visibility due to weather, clouds or natural calamitites.

• Third-Party Services: To give you the best experience, we collaborate with independent travel, stay and food specialists. Because these are separate agencies, they manage their own staff and schedules; while we facilitate the connection, we cannot be held responsible for their individual service delivery or delays.

• Safety and Conduct: Participants must follow all safety instructions; intoxication, smoking, or disruptive behaviour may lead to immediate eviction without a refund.

• Equipment Care: Guests are responsible for any damage caused to telescopes, camping gear, or resort property.

• Liability Waiver: By booking, participants acknowledge the inherent risks of outdoor camping and release the organiser from liability for personal injury or loss of belongings.

• Health and Fitness: Guests represent that they are in good health and fit for outdoor activities at remote locations.

• Prohibited Items: Alcohol, and flammable materials are strictly prohibited at the campsite for safety and resort policy reasons.

• Self Travel: Participants travelling on their own must reach the venue on time.

• Minors Policy: Minors(age under 18) must be accompanied by at least one adult parent or guardian.

• Booking Policy: Booking will be done only by buying the service on our website.

• Cancellation and Refund Policy:

  1. No refund of booking amount in case of bad/cloudy/rainy weather.

  2. Delays due to self travel will not be refunded under any circumstances.

  3. Booking amount is not refundable if you don't show up to the event, under any circumstances.

  4. If the booking is cancelled by us, we will refund the entire booking amount.

  5. Full Refund if cancelled 11 or more days before the event.

  6. 50% refund if cancelled between 6 and 10 days before the event.

  7. No refund if cancelled 5 days or fewer before the event.

• The service provider Etherayan reserves all rights of organization and cancellation/alteration of/to its events.

Travel & Transportation Terms

• Third-Party Liability: Transportation is provided by an external travel agency; we are not liable for mechanical breakdowns, accidents, or delays caused by the carrier.

• Punctuality: Participants must reach the designated pick-up point 15 minutes before the scheduled departure; the vehicle will not wait for latecomers and no refunds will be given for missed transport.

• Seat Allocation: Seating in the travel vehicle is usually on a first-come, first-served basis or as assigned by the coordinator; special requests are not guaranteed.

• Route Changes: The coordinator reserves the right to alter the travel route due to roadblocks, heavy traffic, or safety concerns without prior notice.

• Luggage Responsibility: Guests are responsible for their own luggage during transit; the organizer is not responsible for theft, loss or damage to personal items inside the vehicle.

• Conduct in Transit: Any misbehavior, smoking, or consumption of alcohol inside the transport vehicle is strictly prohibited and may result in the guest being asked to deboard.

• Pick-up/Drop-off Points: Standard pick-up and drop-off points are fixed; no door-to-door service is provided unless explicitly mentioned in your booking.

• Refund Policy(Travel):

  1.Vehicle Breakdown: In case of a major breakdown, we will attempt to arrange an alternative vehicle; however, no refunds will be issued for time lost during the transition.

  2.Missed Departure: If a participant misses the transport, they must arrange their own travel to the resort at their own cost; the package price remains unchanged.

Terms and Conditions and Booking/Refund Policies

Mobile Planetarium

1. Venue & Technical Requirements

• Space Specifications: The client must provide a clear, indoor floor area (e.g., 25' x 25') with a minimum ceiling height of 10 to 11 feet.

• Surface Condition: The venue floor must be swept clean and dry to protect the dome fabric; carpeted surfaces are often preferred.

• Power Supply: An uninterrupted, surge-free power supply (typically 2 KVA) must be available within 5 metres of the setup.

• Climate Control: For hot or humid weather, the venue must be air-conditioned or well-ventilated to ensure participant comfort inside the dome.

2. Booking & Payment Policies

• Advance Notice: Bookings should generally be confirmed at least 5 working days in advance.

• Payment Terms: Full payment or a significant deposit is often required to confirm the booking.

• Minimum Guarantee: Service providers may require a minimum number of students or a minimum daily fee to mobilize.

3. Operational Guidelines

• Batch Scheduling: Shows typically run in 20–30 minute batches with a 10–15 minute gap between sessions for ventilation and cleaning.

• Supervision: Schools must provide at least one or two teachers per session to manage student conduct and assist with entry/exit.

• Installation Time: The client must allow 30 to 60 minutes for initial setup and 30 minutes for packing away.

4. Safety & Conduct

• Emergency Procedures: In an emergency, the dome can be evacuated immediately by lifting the sides or using designated vertical zipper exits.

• Prohibited Items: No food, drinks, sharp objects, or photography are permitted inside the dome to prevent damage to the projection surface.

• Right to Cancel: Staff reserve the right to cancel the service without refund if the venue is found to be unsafe, dirty or if participants behave abusively.

5. Liability & Insurance

• Damage to Equipment: The client is responsible for any damage caused to the dome or projection systems due to negligence or lack of supervision.

• Personal Injury: The service provider typically disclaims liability for injuries arising from client-provided facilities (like faulty power or unstable flooring).

• Refund Policy:

  1. No refund of booking amount in case of cancellation by client 2 days prior or on the day of event.

  2.50% refund if cancelled by client 7 days prior to the event date.

  2. If the booking is cancelled by us, we will refund the entire booking amount.
